Yardi Work Order Interface

HandyTrac Premium Touch and Platinum Touch systems provide the option to pull work order and unit information from Yardi Voyager 7S+. This allows HandyTrac users to easily request keys in a streamlined process.

When an employee with an assigned work order accesses the HandyTrac system, the Work Order screen will provide a list of assigned work orders. When selected, the unit key is automatically requested, and information about the work order is provided for quick reference.

In addition to work orders, unit names can also be pulled directly from Yardi for new HandyTrac systems, allowing a quick and accurate method to submit units to HandyTrac for first time setup.

The information that must be sent to HandyTrac for the Yardi Interface setup can be submitted using the form at the bottom of this page.

Notes:
-HandyTrac does not update any work order information in Yardi. The data exchange is strictly one way from Yardi.
-These steps are intended for Yardi administrators

-Enter a case in Client Central in Yardi if assistance is needed with any step in this process.

Configuring the Vendor Options for Handytrac

  1. Navigate to: Interfaces > Configuration > Review Interface Vendors > Interface Configuration
  2. Select “Service Request” Entity type and click “Submit”
  3. Search for “Handytrac” in the Interface Configuration search box.
    If vendor is not present, contact Yardi Technical Support to load the vendor package.
  4. Select Handytrac.
  5. Select the options desired on the vendor configuration screen. The default options are the minimum requirement.
  6. Save the configuration options.

Configure the Property or Property List

Menu Path for a Single Property:

  1. Navigate to: Setup > Property > Find Property > [property code] > Submit.
  2. Click on “Functions” drop down menu. Click on “Interface Configuration.”
  3. Select Service Requests Interface Type from drop down .
  4. Highlight Handytrac under Available Agencies. Click Select and Save.

Menu Path for a Property List: 

  1. Navigate to: Interfaces > Configuration > Bulk Property Configuration.
  2. Enter property list code
  3. Select Service Requests Interface Type from drop down
  4. Select Configure.
  5. Highlight Handytrac from list of Available Agencies and click Save.

Configure Interface Security Group

Note: Creating a new Security Group may not be required if you already have one set for Interface Vendors. You can use an already created group as long as it has permissions for the required Interface Web Services listed below. 

  1. Navigate to: Roles > Administration > Add Group
  2. Enter Code: “handytrac” and Description: “HandyTrac Key Control.”
  3. Navigate to: Security > Set Permissions
  4. Search for the newly created “handytrac” group.
  5. Enter “Interface: Web Service” as the Description.
  6. From the Permissions list, select Find then Edit.
  7. Set the following Permissions to Read:
    1. Interface Web Service: Service Requests
    2. Interface Web Service: Common Data
    3. Interface Web Service: Resident Data*
  8. Save the security group permissions.

*Only required for unit pull feature with new system setup. 

Configure the Interface User

  1. Navigate to: System Administration > Security > Add User
  2. Create a new interface user
    1. Enter appropriate names for Code, First name, Last name.
    2. Link to a security group for the specific Interface Type. The security group should have Read access to the Service Requests web service interface.
    3. Enter the property code or property list code in the property field to allow interface user access to properties configured for Handytrac.
    4. Create a Username and Password for the user
    5. Save.
  3. In the “Privileges” tab, check the box for “Interface User”. This will give user access through the web services, but not the Voyager front end. Interface users do not count against a Yardi client’s license.
  4. Save.

Required Database Information

  1. Navigate to: Voyager > Administration > About
  2. Locate the following information:
    1. Voyager URL
    2. Database Name
    3. Server Name

HandyTrac must be notified of any changes to Voyager URL, database server, or database name.
